A Crown Oaks event in action
Crittenden Wines has added a private, branded Crown Oaks sweep to its Oaks Day Ladies Lunch in Dromana. Guests can join from their phones using a QR code, receive three horses drawn at random from seeded pots and follow their combined score on a live leaderboard during the event.
The setup shows how wineries, hospitality venues and event organisers can make a Crown Oaks lunch more interactive without introducing paper tickets, a manual draw or a spreadsheet. The sweep, prizes and Crittenden branding all form part of the same race-day experience.
A simple format for ladies lunches, winery events, hospitality packages, client entertainment and other Crown Oaks Day celebrations.
See it before you create it
Open the real Crown Oaks demo events to see the entrant experience, assignments, prizes, scoring and leaderboard.
Simple for organisers
Open Crown Oaks Sweep and choose Office & Group or Fundraiser, followed by Random Sweepstakes or Player Picks.
Add your organisation name, event branding, entry information, rules and Crown Oaks Day prizes.
Share one link or QR code by Teams, Slack, email or group chat. Entrants can join on mobile or desktop.
Publish the draw after the final field is ready, then show the leaderboard on a shared screen for the race.
Fair and transparent
Your entrants should be able to see how the sweep works before the race begins.
Available odds are used to rank the runners and create balanced seeded groups.
Every entrant receives or chooses horses using the same configured structure.
The configured final-field time is 1 November 2026, 23:00 GMT. Sweepzy can remind the organiser when the draw becomes available.
Entrants can see the published draw, their horses, rules and prizes on the same event page.
Crown Oaks Day experience
Put the draw or live leaderboard on the office screen and give every colleague, table or remote teammate the same Crown Oaks competition to follow.
No spreadsheet required
Keep the entry list, draw, rules, prizes and results in one place rather than across a spreadsheet and several chat threads.
Make the prize plan clear
Decide and publish the prize structure before entries open. You can reward the winner, placegetters, last place or add light-hearted workplace prizes.
Use the largest share or main workplace prize for the entrant linked to the winning horse.
Spread smaller prizes across the placed runners to keep more entrants involved.
Add a fun prize for last place, subject to the rules you publish for your event.
Try vouchers, a team lunch, company merchandise or a charity donation selected by the winner.
If your sweep involves paid entry or cash prizes, check the rules that apply where you operate and make all entry, scratch and prize conditions clear to entrants.
